The SCAA receives a large volume of registrations each day and processes them in the order they are received. Most registrations are processed within 24 hours of receipt and an e-mail confirmation is immediately sent once the registration is processed. When you arrive at the Boston Convention & Exhibition Center, you may pick up your badge in Registration.
Bring your registration confirmation to Registration. A badge will be re-printed for you at a cost of $10.

Yes, you may invite important clients to attend the exhibition for FREE. INVITE A CUSTOMER Invitations are available electronically through your registration dashboard. The allotment is based on the size of your booth (i.e., 10 invitations per 10×10 booth). This information is also included in your Exhibitor Service Kit.
Four free staff badges are complimentary with every 10′ x 10′ booth space, but you must register for staff badges; they will not be sent to you automatically. You can register four staff badges online or by calling SCAA 2013 Expo & Symposium Customer Services at 877-394-9751. Additional staff badges beyond the allotment are $100 each.
Equipment and other booth-related services can be ordered through Freeman, the show decorator. A link to the Exhibitor Service Kit will be e-mailed to all exhibitors and will also be available on the Event website in December.

Yes, both the Exhibiting Company AND all Exhibitor Appointed Contractors (EACs) must provide certificates of liability insurance. Exhibitors need comprehensive general liability coverage and EACs must have general liability and worker’s compensation coverage. If you use Freeman labor to erect your booth, they have already supplied their insurance information to SCAA so you do not need to request it again. Please review the insurance requirements in the Exhibitor Rules & Regulations for a list of additional insured.
A Certificate of Insurance protects exhibitors, the association and show management from any liabilities that may arise in the case of an accident within your booth. The requirement applies to ALL exhibitors, foreign and domestic.
Contact your current insurance provider to confirm they can provide the certificate. For those companies whose policies do not cover trade exhibition or US coverage, you can purchase event-specific insurance for the Exposition. Insurance requirements and one such provider are outlined on page 8 of the
RULES AND REGULATIONS.

Drayage is the movement of freight from the warehouse or loading dock to the booth on the inbound, and from the booth to the loading dock on the outbound.

Yes. Several meeting rooms (both complementary and fee-based) and space at the Cupping Exchange (fee-based) will be available to exhibitors and members. Advance reservations are recommended.

We love kids, but unfortunately a coffee event isn’t the best place for them, given all the hot water, heavy machinery, and moving parts. Individuals must be registered and 16 years or older to enter the Expo hall during move-in and move-out and 12 years or older during show hours. SCAA reserves the right to refuse entry to educational, social and exhibit areas. No one under 12 is permitted in skill building workshops, lectures or the Expo hall. Please note that there is no on-site childcare. Local hotels can arrange child care for their guests.
Age rules apply to USBC and USCTC participants and guests, exhibitors and attendees. No one under 12 years of age is permitted in Skill Building Workshops or lectures.
For safety reasons, you may NOT carry or bring infants or children in strollers or backpacks. NO EXCEPTIONS.
Once an individual class is full (sold-out), online registration will no longer be accepted. We will maintain a wait list on-site in Boston, starting 30 minutes prior to class start time, on a first-come, first-served basis. A small number of students may be processed in to the class in the event of no-shows (students who are registered but do not come to class) or other exceptions. To join the on-site wait list, please come to the Skill Building Workshop Standby Table located on Level 2 near the Northwest Lobby in the BCEC (Convention Center) with a valid credit card. Instructors can register online, but will not be able to select Lead Instructor positions to which they have been assigned, as these positions are locked and must be added manually. In addition to online registration, all Lead Instructors and Station Instructors also need to contact Renee Espinoza, SCAA Volunteers Coordinator at
[email protected], upon registering.
Those who have earned the SCAA Lead Instructor Credential (Certified Instructors) through the SCAA Instructor Development Program (IDP)(see #3 above) are eligible to volunteer as Assistant Instructors. Additionally, with permission of the Lead Instructor, those who have not yet earned the Instructor Credential can volunteer as Assistant Instructors provided they pledge to attend an IDP session in 2012-13. We anticipate offering the IDP course at least 3 times in 2012-13.
The Volunteer Point system is SCAA’s system of tracking volunteer service. Different volunteer positions carry different “weights” in points as some volunteer positions require specialized skills or commitments and are weighted accordingly.
Volunteers that meet the threshold of 9 points (members) or 12 points (non-members) (prior to the Early Bird deadline of March 14, 2013 only 6 points are required for members and 10 points for non-members) are eligible to receive a complimentary 3-day trade show pass to The SCAA Exposition. In general, most volunteers will need to participate in approximately 3 different shifts to meet the point threshold.
