The SCAA is truly an organization built by the members, for the members and we rely heavily on our dedicated volunteers to accomplish this task.  It is the strong commitment from our volunteers that makes the SCAA so successful. 

 And, during our Annual Exposition the number of volunteers can easily reach 400 or more individuals who help in a number of positions to make sure the Exposition is a success.

2014 Re-sign Booth Helper

This volunteer will be stationed at the 2014 Re-sign Booth and will help with greeting people as they arrive for their appointment, assisting them in looking for available booths on the map, passing out contracts, putting dots of sold booths on the floor plan, going on the Exhibit Hall to get people who miss their appointment, and answering questions when the re-sign staff is at lunch.  The point-person for this area is Lisa Pacini.

App Squad (Some Bi-lingual Volunteers Needed)

The App Squad will be a group of techie volunteers who will ‘mingle’ at key events and hang out in high traffic areas and offer to help attendees download and figure out how to use the new SCAA Event app.  Their objective will be to maximize app downloads and be a source of information and assistance to anyone who isn’t familiar with how to use an app.  It’s very important that you be a people person, and enjoys chatting people up about technology.  A brief but mandatory pre-event webinar will be offered to all App Squad volunteers prior to The Event to help familiarize them with the actual SCAA Event app.


  • Must have above average user familiarity with iOS / Droid and/or Blackberry smart phone. 
  • Must have above average user familiarity with iOS / Droid and/or Blackberry apps and the ability to explain the process of downloading an app to another attendee
  • Must understand how to use a QR code to access a link via a smart phone
  • Must be upbeat and a pro at customer service-you’ve got to like helping people!
  • Must be willing to wear a super cool App Squad t-shirt while ‘on the clock’. (t-shirt is free and will be provided to you)

BGA Café - Barista

This volunteer will be stationed at the BGA Café and prepare espresso shots.  BGA Level 1 certification or comparable experience is required.  If you do not currently have the BGA Level 1 certificate, someone will be in contact to continue the vetting process.  Please note that beginning in 2014, the BGA Level 1 certificate will be required in order to volunteer for this position.

BGA Café: Porter

This volunteer will assist the Barista with dishes and other porter duties as needed

Info Booth

This volunteer will be stationed at the info booth to assist Expo attendees with questions and directions to the different events.  Bilingual English/Spanish is helpful but not necessary.

Skill Building Workshops: Lead Instructor

The Boston 2013 Lead Instructors are chosen by the SCAA Professional Development Committee.  All Lead Instructors have extensive industry knowledge in the specific course they are teaching and have successfully completed the SCAA Instructor Development Program deeming them as SCAA Certified Instructors.

Skill Building Workshops: Station Instructor

Station Instructors assist the Lead Instructors by teaching small groups of students at a particular station during the course. Station Instructors should have at least 3 years of experience in the area of expertise the course is focused on and has successfully completed the SCAA Instructor Development Program deeming them as SCAA Certified Instructors. 

Station Instructors are required and responsible for:


  • Course Lab emphasis (i.e. cupping, brewing, roasting, espresso and sensory) must be a part of your job on a regular basis. 
  • Enthusiastic and committed to show up during your scheduled times.

Skill Building Workshops: Porter

Porters are responsible for the following:


  • Being ENTHUSIASTIC and COMMITTED to show up during your scheduled times.
  • Able to lift heavy bus tubs.
  • Able to take direction from the Lead and Station Instructors.
    • Responsible for making sure the cupping tables & glasses used by the students are cleaned during and after the lab. (Cupping)
    • Responsible for making sure the brewing stations & carafes used by the students are cleaned throughout and after the lab. (Brewing)
    • Responsible for making sure the espresso stations & dishware used by the students are cleaned during and after the lab and SET UP and READY FOR THE NEXT CLASS. (Espresso)
    • Responsible for making sure that the tables and glasses used by the students are cleaned throughout the lab and at the end of the lab. (Roasting)

Skill Building Workshops: Room Host

Room Hosts lend support to the Lead and Station Instructors during the course.  Responsibilities include:


  • Ensuring audio visual needs are working properly.
  • Ensuring Interpreter equipment and interpreters are present for session (if applicable).
  • Distributing and collecting evaluations.
  • Seek assistance from the SCAA event staff should there be any technical difficulties.
  • MUST be present during the entire class.

Lectures: Presenter

If you are interested in being a presenter for 2014 look for the CALL FOR PRESENTERS available in summer 2013.  Further submission guidelines will be announced following the 2013 SCAA Event.

Lectures: Room Host

Room Hosts lend support to the presenters during the lecture sessions.  Room Hosts are NOT presenters.  Responsibilities include:


  • Introducing the presenters.
  • Distributing and collecting evaluations.
  • Ensuring audio visual needs are working properly.
  • Ensuring Interpreter equipment and interpreters are present for session (if applicable).
  • Assisting the audience during the presentation. 
  • MUST be present during the entire presentation.

Membership Booth (Bilingual)

This volunteer will be stationed at the Membership Booth to assist with Spanish speaking members as well as assisting the Membership Staff with other tasks.

This volunteer will be stationed at the Membership Booth and will be assisting the Membership Staff with tasks.

New Product Check-in

This volunteer will assist exhibitors in checking-in and placing their New Products in the showcase that is on the exhibit hall floor.  This is not a fast paced job and you have a chair, so perfect for someone who does not want to walk or stand a lot.

Roasters Choice: Barista

This volunteer will be stationed at the manual brew stations in the Roasters Choice area and preparing the coffees using various manual brew methods.  BGA Level 1 certification or comparable experience is required.  If you do not currently have the BGA Level 1 certificate, someone will be in

contact to continue the vetting process.  Please note that beginning in 2014, the BGA Level 1 certificate will be required in order to volunteer for this position.

Roasters Choice: Porter

This volunteer will assist with weighing and brewing of coffee and any other porter duties as needed.

Cupping Exchange Room

This volunteer will be stationed at the Cupping Exchange Room.   When the cupping area is being used, you will assist the point person with grinding coffee, assembling cupping tray set ups, collecting used glassware, rinsing and re-boxing.

Runner

This volunteer assists the on-site Event Team in a number of capacities prior to and during the Exposition. This position may be asked to lift or carry heavy boxes or equipment and involves walking all over the convention center, so please wear comfortable shoes.

SCAA Store

This volunteer will assist the SCAA Store Staff with a variety of tasks including:  


  • Greet customers as they come in. Answer any question to the best of your ability otherwise check with store manager, currently Adra Aragon.
  • Assist in re-stocking when items become sold out or stock level appears low. Including books, posters, drink ware, multimedia, and apparel.
  • Assembling sets of the Art of Aroma Poster Collection. Hanging back stock of apparel. Making sure the video is playing and the case is displayed.
  • Assist cashiers in bagging customer orders. Includes rolling up posters, and placing other items in a bag. Refill supplies as needed behind the counter including handled bags and poster tubes.
  • You might find yourself on your feet the entire shift. Chairs are provided for lulls in customer activity and for tasks where they could be utilized to enable you to be more productive.

Set-up

This volunteer will help with set-up of the show in the SCAA store, USBC / USBC Café area, Skill Building Workshops, COTY/RC Room, US Cup Tasters Championship area, or Cupping Exchange Room.  You may be asked to lift or carry heavy boxes.  Some of the Volunteers helping with Lab set-up must be able to lift heavy boxes weighing 50 or more pounds. 

Tear Down

This volunteer will help with tear down of the show in the SCAA store, USBC / USBC Café area, Skill Building Workshops, COTY/RC Room, US Cup Tasters Championship area, or Rental Cupping Room.  You may be asked to lift or carry heavy boxes.  Some of the Volunteers helping with Lab tear down must be able to lift heavy boxes weighing 50 or more pounds.

USBC Head Runner

This position is responsible for ensuring competitors take the stage on time and assisting them with grinder and supplies placement.

USBC Busser

This position is responsible for bussing the dishes from each round of beverage servings during the competitor’s presentation time. Competitors may request that the busser clears dishes a particular way.

USBC Preparation Timer

This volunteer is responsible for using a stopwatch to time the competitor during the preparation period.

USBC Competition Timer

This volunteer is responsible for using a stopwatch to time the competitor during the competition period.

USBC Station Maintenance

This volunteer is responsible for cleaning the espresso machines and grinders.

USBC Scorekeeper

This position is responsible for tallying score sheets. This position should be held by a person with no conflicts of interest (i.e. not affiliated with any competitor in the competition).

US Cup Tasters Championships: Runners

This volunteer is responsible for taking the brewed coffee from the brewing area to the competition stage immediately after it is brewed and bussing the dishes at the end of each round.

US Cup Tasters Championships: Head Brewer

This volunteer is in charge of the brewing area. Responsibilities include making sure the coffee is weighed and ground properly, that all coffees are brewed at the same time, and maintaining the proper flow of the brewing area.

US Cup Tasters Championships: Brewer

This volunteer is responsible for properly brewing the coffees for the competition under the direction of the Head Brewer.

US Cup Tasters Championships: Scorekeeper

This volunteer is responsible for tabulating the competitor score sheets.

US Cup Tasters Championships: Dishwasher

This volunteer is responsible for cleaning and preparing the dishes for each round.

Volunteer Check-in

This volunteer will be responsible for helping check-in volunteers, hand out volunteer packets & ribbons, and communicate instructions to volunteers.
