http://www.bostonconventioncenter.com/
617-954-2000

How do I book a hotel room?

SCAA has negotiated special rates at hotels near the Boston Convention & Exhibition Center and in the surrounding areas. Remember, we are trying to "outrun" the Boston Marathon runners for hotel reservations – SCAA has reserved a large block of rooms available only to our attendees, but they'll surely go fast. Visit the travel page for more information on the Symposium & Exposition hotels available.

What is included with an Event Attendee Badge?

SCAA members can save on Event fees, but what other benefits would I receive if I become an SCAA member?

Not only will you get member discounts for your Event registration fees and any resource center items you purchase in Boston, but SCAA members also benefit from a number of other resources. SCAA members have year-round access to industry research, member forums, discounts on services, training events, networking opportunities, and much more. And, since SCAA has members from every category in the chain, you have access to the people who can help you with all your business needs. Click here for more information on MEMBER BENEFITS.

How much does SCAA membership cost?

I just faxed/mailed my registration. Did you receive it?

The SCAA receives a large volume of registrations each day and processes them in the order they are received. Most registrations are processed within 24 hours of receipt and an e-mail confirmation is immediately sent once the registration is processed. Watch your e-mail for your Registration Confirmation & Receipt. If you do not receive an e-mail confirmation within three days, please e-mail registration@scaa.org.

When and how do I receive my Badge?

When you arrive at the Boston Convention & Exhibition Center, you may pick up your badge in Registration.

How do I replace a lost badge?

Bring your registration confirmation to Registration. A badge will be re-printed for you at a cost of $10.

What is the Refund and Cancellation Policy?

Refunds are available up to 30 days prior to the show, minus a processing fee of $50.00. Please contact SCAA at registration@scaa.org with questions.

How do I acquire a VISA Letter?

When you register online, you will be given the option to request a VISA Letter.

How do I make a Group Registration (5 or more registration records)?

When you register online, you will be given the option to "Add Another" or "Submit Registration". Click "Add Another" and repeat the registration process for the new registrant. When you are finished entering registrations, click on "Submit Registration" to continue to the payment page and complete your session.

My company is exhibiting at the Show. We would like to invite some of our prospective customers to visit our booth. Are passes available?

Yes, you may invite important clients to attend the exhibition for FREE. INVITE A CUSTOMER Invitations are available electronically through your registration dashboard. The allotment is based on the size of your booth (i.e., 10 invitations per 10x10 booth). This information is also included in your Exhibitor Service Kit.

Must I register for my exhibitor staff badges or will they be mailed to me automatically?

Four free staff badges are complimentary with every 10' x 10' booth space, but you must register for staff badges; they will not be sent to you automatically. You can register four staff badges online or by calling SCAA 2013 Expo & Symposium Customer Services at 877-394-9751. Additional staff badges beyond the allotment are $100 each.

How do we order equipment and/or services for our booth?

Equipment and other booth-related services can be ordered through Freeman, the show decorator. A link to the Exhibitor Service Kit will be e-mailed to all exhibitors and will also be available on the Event website in December.

Contact information for a variety of service providers is listed in the Exhibitor Service Kit along with order forms, pricing and contact details. Be sure to review the Exhibitor Service Kit and make your arrangements early to secure early bird discounts.

How do I edit my exhibitor profile?

CLICK HERE to access exhibitor log in.

In the exhibitor profile, you can create your own profile and brand information, as well as create a welcome message. You can also update your company contact information. If you have any questions, please call Lisa Pacini at 562.206.7022 or email exhibit@scaa.org.

Does the exhibiting company or the contractor erecting the booth need to provide the Certificate of Insurance?

Yes, both the Exhibiting Company AND all Exhibitor Appointed Contractors (EACs) must provide certificates of liability insurance. Exhibitors need comprehensive general liability coverage and EACs must have general liability and worker's compensation coverage. If you use Freeman labor to erect your booth, they have already supplied their insurance information to SCAA so you do not need to request it again. Please review the insurance requirements in the Exhibitor Rules & Regulations for a list of additional insured.

Why must I provide a Certificate of Liability Insurance? And, how do I obtain insurance coverage?

A Certificate of Insurance protects exhibitors, the association and show management from any liabilities that may arise in the case of an accident within your booth. The requirement applies to ALL exhibitors, foreign and domestic.

Contact your current insurance provider to confirm they can provide the certificate. For those companies whose policies do not cover trade exhibition or US coverage, you can purchase event-specific insurance for the Exposition. Insurance requirements and one such provider are outlined on page 8 of the RULES AND REGULATIONS.

We are a non-US company, do we need to show proof of workers compensation insurance?

No.

What is drayage?

Drayage is the movement of freight from the warehouse or loading dock to the booth on the inbound, and from the booth to the loading dock on the outbound.

How can I get more exposure at the trade show?

Lisa perhaps we can add a link to the exhibiting tips that I developed great idea!

Whether the objective of exhibiting at SCAA's Expo is to educate attendees, launch a new product line, or dominate the category, your booth space is only the start of your company's ability to draw attention to your products or services.

View SCAA's Promotions Guide for Exhibitors and take advantage of the INNOVATION SHOWCASE, BEST NEW PRODUCTS COMPETITION and numerous other promotional opportunities.

Advertising is also available in the Expo Guide (published by Roast Magazine) or in the daily conference newspaper, The Morning Cup. Details can be found in the Promotions Guide, the Exhibitor Service Kit, the Sponsor Brochure, and the Media Kit (coming soon). For information on SPONSORSHIP OPPORTUNITIES, please contact Katy Goulding at 562.624.4100 or email sponsorship@scaa.org.

Can my company rent a meeting room or cupping room at the convention center during the Event?

Yes. Several meeting rooms (both complementary and fee-based) and space at the Cupping Exchange (fee-based) will be available to exhibitors and members. Advance reservations are recommended.

To inquire about room availability at The Cupping Exchange or meeting room space, please contact Lisa Pacini at lpacini@scaa.org.

Can I bring my family to the Event?

We love kids, but unfortunately a coffee event isn't the best place for them, given all the hot water, heavy machinery, and moving parts. Individuals must be registered and 16 years or older to enter the Expo hall during move-in and move-out and 12 years or older during show hours. SCAA reserves the right to refuse entry to educational, social and exhibit areas. No one under 12 is permitted in skill building workshops, lectures or the Expo hall. Please note that there is no on-site childcare. Local hotels can arrange child care for their guests.

Age rules apply to USBC and USCTC participants and guests, exhibitors and attendees. No one under 12 years of age is permitted in Skill Building Workshops or lectures. For safety reasons, you may NOT carry or bring infants or children in strollers or backpacks. NO EXCEPTIONS.

What happens when a class is full (sold-out)?
Once an individual class is full (sold-out), online registration will no longer be accepted. We will maintain a wait list on-site in Boston, starting 30 minutes prior to class start time, on a first-come, first-served basis. A small number of students may be processed in to the class in the event of no-shows (students who are registered but do not come to class) or other exceptions. To join the on-site wait list, please come to the Skill Building Workshop Standby Table located on Level 2 near the Northwest Lobby in the BCEC (Convention Center) with a valid credit card. For questions or to learn more about the SCAA certification program, please refer to the SCAA Professional Development home page here.

What do the letters and numbers on SBW classes mean?

What is the RG Cert Test-Out on Friday? Are people who attend automatically certified?

What is the process of how volunteer instructors register?

Instructors can register online, but will not be able to select Lead Instructor positions to which they have been assigned, as these positions are locked and must be added manually. In addition to online registration, all Lead Instructors and Station Instructors also need to contact Renee Espinoza, SCAA Volunteers Coordinator at volunteers@scaa.org, upon registering.

Why can't Lead Instructors register for their positions online?

Who is eligible to register for Station Instructor positions?

Those who have earned the SCAA Lead Instructor Credential (Certified Instructors) through the SCAA Instructor Development Program (IDP)(see #3 above) are eligible to volunteer as Assistant Instructors. Additionally, with permission of the Lead Instructor, those who have not yet earned the Instructor Credential can volunteer as Assistant Instructors provided they pledge to attend an IDP session in 2012-13. We anticipate offering the IDP course at least 3 times in 2012-13.

Is the Attendee Brochure up to date? Is the SCAAevent.org SBW Instructor page?

Why is GE103 Intro to Cupping a prerequisite for a roasting class, RP112 Intro to Roasting Concepts?

Why are the intro classes on Sunday? That seems backwards!

"Seed to Roaster" is listed as a prerequisite for GE103 Intro to Cupping. Why? Can I attend GE103 without attending "Seed to Roaster"?

Can I become a certified Roaster at Expo?

Can I become a certified Barista at Expo?

What is a Golden Cup Technician?

Which courses & credits are available in the BGA Certification Program?

What are volunteer points?

The Volunteer Point system is SCAA's system of tracking volunteer service. Different volunteer positions carry different "weights" in points as some volunteer positions require specialized skills or commitments and are weighted accordingly.

Volunteers that meet the threshold of 9 points (members) or 12 points (non-members) (prior to the Early Bird deadline of March 14, 2013 only 6 points are required for members and 10 points for non-members) are eligible to receive a complimentary 3-day trade show pass to The SCAA Exposition. In general, most volunteers will need to participate in approximately 3 different shifts to meet the point threshold.

Where can I find the list of education credits I've already earned?

What if I've taken or taught an SCAA course, and the education credit doesn't appear in my profile?

I am opening a coffee shop. What classes should I take?
Friday: CP151 -CP152
Saturday: CP101-102
Sunday: GE103

I am a new roaster. What classes should I take?
Friday: CP151-CP152 (or) CB100 and RP110
Saturday a.m.: CB205
Saturday p.m.: RP104 or RP118
Sunday: RP208

What about pre-requisites?
It is important to understand that the classes are designed with the assumption that you have the prerequisite knowledge. In the past we have had people come to class without the prerequisites. We do small group work where people learn as much from each other as they do their station instructors, so those who do not have the prerequisites limit their small groups and hinder the learning of new material for others.

Please be aware that there will be NO remediation in the class-the instructor will not take time to teach material that is in the prerequisite class. If you are lost or confused as a result of the instructor covering information that relies on the pre-requisite, and you stop the class or your small group and ask the instructor to explain more, the instructor will say, "That was in the prerequisite class."

PLEASE NOTE: For BGA LEVEL 1, please go to the BGA Certification Handbook online, and turn to the Appendix that states the "competencies". You can self-assess. Please be aware that we test for SCAA practices and information, not others. We know there are other ways to make coffee well, but we do not test those. Our program is classified an "assessment-based certificate", which means that our tests must be validated against information presented in the classes and specific objectives that must be met by the end of class. We are allowing people to "test out" because they say that through their years of practice they do not need our classes and can demonstrate ability to perform the objectives. The competencies in the BGA Certification Handbook state those objectives for a candidate to demonstrate during the tests.
